Do physical inventory using bins/advanced warehousing

Hi,

We have a customer using bins and various ‘advanced’ warehouse setups - This customers wishes to do cyclic/periodic count where the last physical inventory count date and period dictates when the item should be counted.

Problem is that in basic warehouse setup, the Phys. Inventory Ledger Entry (on which the last count date and period updates are based on), is created when posting the Item journal/Phys. inventory Journal - This works perfectly - if you however has a advanced warehouse setup using bins, we should use the Whse Journal Line/Whse. Phys. Invt. Journal, count and post. Then Go to the Item Journal, calculate whse adjustment and post… At no point is the Phys. Inventory entries created in the ‘advanced’ setup which means count dates isnt updated on the skus/items (Flowfield from Phys. Inventory Entry)…

The description on docs seems off, at least flawed somehow - or am I missing something?

https://docs.microsoft.com/en-us/dynamics-nav-app/inventory-how-count-adjust-reclassify

I could program my way out of this, creating entries posing the Whse. Journal but surely I am missing something?

Best regards,
Troels

Hello,

This should work perfectly. I am attaching my handout on this subject so you can validate and retest.

Hi Steve,

Thanks - yes, it will work using a Phys. Inventory Journal as described in the attached document… However a Phys. Inventory Journal cannot be used with directed put-away and Pick… Here we have to use a Whse. Phys. Invt. Journal. This is where the problem arises because registering the Whse. Phys. Invt. Journal does not create Phys. Inventory Ledger Entries (Basis for calculation of counting periods) and nor does the later calculation of adjustement, when using Whse. Phys. Invt. Journal (Requirement when using directed putaway) … It works perfectly fine with a phys. inventory journal, but not with whse. phys. inventory journals, at least not in NAV 2017 and BC as far as I’ve tested…

When attempting using a ‘simple’ Phys. Inventory Journal in a directed putaway setup:

Hello,

When using the Advanced Warehousing, on the Warehouse Physical Inventory Journal have you clicked Process/Calculate Inventory? When you have entered all the counted quantities, choose the Register action. When you register the journal, application creates two warehouse entries in the warehouse register for every line that was counted and registered:

  • If the calculated and the physical quantities differ, a negative or positive quantity is registered for the bin, and a balancing quantity is posted to the adjustment bin of the location.
  • If the quantity calculated is equal to the physical quantity, application registers an entry of 0 for both the bin and the adjustment bin. The entries are the record that on the registering date, a warehouse physical inventory was performed, and there was no discrepancy in inventory for the item.

When you register the warehouse physical inventory, you are not posting to the item ledger, the physical inventory ledger, or the value ledger, but the records are there for immediate reconciliation whenever necessary. If you like to keep precise records of what is happening in the warehouse, however, and you counted all of the bins where the items were registered, you should immediately post the warehouse results as an inventory physical inventory. If your location is using directed put-away and pick (advanced warehouse configuration), you first use the Whse. Phys. Invt. Journal page, and then you use the Item Journal page to run the Calculate Whse. Adjustment function.

Hope this helps.

Thanks,

Steve

Hi Steve,

Thanks - yes, I can do a count using Whse Phys Invt. Journal which, when registered create warehouse entries and post the value entries using the Item Journal - What I cannot is create the Phys. Inventory Ledger Entries (Basis for calculation of counting periods) - What I am postulating is that the counting period functionality is broken when using directed pick and put away … At least I havent found a way to have the Phys. Inventory Ledger Entries created with a directed pick and put away setup…

Hello,

On the Warehouse Physical Inventory Journal page, click Actions/Functions/Calculate Counting Period.

Hope this helps.

Thanks,

Steve
