What triggers a sales order / sales line to be archived?

Hi,

We’re trying to do some reporting and we’ve found the $Sales Header Archive and $Sales Line Archive tables contain a good history of sales orders that we can access. However, it’s a bit of a mystery how to get a new sales order to appear in these tables. Our users are NOT selecting “Archive Document”. Does anyone know what causes a sales order archive record to be created other than selecting “archive document”? I’ve created several new sales orders and can’t figure it out!

I don’t think there is any automatic archiving moment in standard NAV, it is one of those areas that was started and never finished. You can archive an order, but when it is fully posted there is no way to look at old archived orders, because there is no access to the forms from any menu. It might be part of your localisation or an add-on, or maybe some standard mods that your partner provides. I’ve done something similar a number of times. The logical point is to archive the order when the it is released, and once right before it is deleted when it is fully posted, and if it is developed nicely, there may be a flag to turn on auto archiving in a setup table somewhere, maybe a group of related functions in the Administration menu. Check with your partner, they should know.

We finally got this figured out, the sales order is archived when it is printed. There is a checkbox for “archive document” on the second tab and that’s what was creating the archive records.
