Dear All,
In the navision, are there any functionalities or features can be used regarding to voucher?
If I would like to generate a report of voucher for payment to a vendor or reversely where
the report contains thick box option there i.e. cash or bank and how to record a transacation
using voucher, documentation the voucher like history that exists in navision.
Tku for quick answer but I will find the check in the payment journal, and it would be check issued to vendor but otherwise if it is from customer, how I record the check and post it to G/L or bank account ? Do I use cash receipt journal or I must customize ? I think I have to create a report to print whenever I issue a check/voucher because there are many different in the check report with the voucher we used to use. I also want to know if I use cash receipt journal what will be the account type and balance account type or in the other words Dr or Cr whenever i want to record the voucher issued?
I tku for your answ. you are right but I can use voucher without or with navision, and record it manually. The voucher can be used whether there is no navision or not, is that what you asked about ?
Can you be more specific with an example of what you mean by voucher?
In the USA a voucher is a colloquial term used in accounting to describe the process of matching and entering the vendor invoice for payment (normally this is matching the vendor invoice to the shipping document and then to the purchase order). In Navision this is just called Invoicing. You process a vendor invoice either by posting it against a purchase order or posting an invoice. Both of these creates a posted vendor invoice. This creates the liabiity to the vendor and it is now available to pay. You can use the suggest vendor payment to insert into the payment journal for open invoices based upon criteria that you set in the options. Or you can run various reports (i.e. ageing reports) to see the vendors history.
On the Cash receipt journal line, one side is the customer, the other is the Bank.
The Bank will hold all the cash receipts paid in to the company Bank, the Bank Account will post the entries to the G/L Account after you set up the Bank Posting group.
On the payments side, it is just the same except use the Vendor but also use the same Bank.
When receiving a cheque, you can enter the Cheque number in the External document no. field.
When paying, you can use Document No. to hold the cheque number, if using the function to suggest payments, use the first cheque number as the starting number.
I could go on an on but is this the sort of information you were looking for?
how I record the check and post it to G/L or bank account ?
Record it through the cash receipt, posting the “balance” to the bank if you reconcile the bank, the first account is the customer it came from.
Do I use cash receipt journal or I must customize ?
Why do you not want to use the cash receipt journal to record a cash receipt?
I think I have to create a report to print whenever I issue a check/voucher because there are many different in the check report with the voucher we used to use.
When you issue a check to a “supplier” you may want to get Navision to print it but you do not have to. You are talking about checks received - so why do you want a report?
I also want to know if I use cash receipt journal what will be the account type and balance account type or in the other words Dr or Cr whenever i want to record the voucher issued?
Account type = Customer, Balance Account = Bank. I am assuming the check is from a Vendor and you want to see the check in the bank. Using a cash receipt journal forces your signs which should make it easy for you as you do not understand the debits and credits.
The voucher I mean here is a means to issue money and receive money. It is a hardcopy (or a prove) that the company receive payment from customer or issue payment for vendor. So, I use voucher to issue my money from cash or bank to pay something I bought from vendor, meanwhile when I receive the money from customer, I must write down first in the voucher then record it in the G/L using navision, of course I use cash receipt journal for customer payment record and payment journal to suggest payment by voucher as you’ve written. But for me, I can’t find the print check in cash receipt journal, I only find it is available in payment journal. Before using Navision, we print a rim of paper as voucher (for cust or vend), but now we just simply print it using navision, is it possible to print it using cash receipt journal? and how to post it ? what is about dr and cr ?
Many tks for your time and answer. I am learning about from your answ. it mades me ashame too, I am studying hard either navision financial or financial books not relate to navision, while studying I also ask what I do not know in this forum as long as I am blank about the question. I have found the answer from you. Anyway, if I have did according to your suggestion and then check the relate G/L acount no.and of course it is bank account G/L no. exists in COA. If I want to put it to my cash G/L account no., I will use general journal and the balance account type is cash G/L account no. , isn’t it ?
Nice to have your reply. I describe my reason as follows:
Why do you not want to use the cash receipt journal to record a cash receipt?
I want to record payment from customer using voucher. I receive the payment then print it using voucher report as a hardcopy for record, if sometimes, my database broken in the future, I still can have the report

I also print hard copy for payment to our supplier, so it will be as same as voucher for receiving.

I don’t understand about signs in your words, do you mean it is signature or negative/positive symbols ? if it’s about symbols, I am currently not understanding yet for I am learning financial but for me it’s not taking a lot of time, except the calculations in accounting in the future that I must face
Anyway, tks for the answer, but I am still having a question posted to 3939. I also want to have the answer of the question from all of you here according to your time.
Oooops - our Western-born colleagues doesnt even understand the question - they cant imagine such a way of doing business
I happen to live in post-soviet area, and haven`t forgot these regulations, some of them still in common practice. What Andreas means is recieving cash (yes, banknotes & coins!) for some goods or services. In such situation the recipient must print a hardcopy document with credentials of both parties, + NAMES of persons who physically did the transaction, then it is signed by both of them, and each recieves a copy, serving as a proof of the deal… This is why Andreas needs to print a “check” for receipt, it has nothing to do with bank.
BTW its not the first post here, when Western folks simply cant understand what is it all about [:D] On more common practice is 100% prepayment (or partial, which is even worse with Navision) - I recall an answer like that "Why one should pay for goods he hasnt recieved - its illogical". But its a different story, already discussed - and solved - here
I have no problem understanding when the issue is actually explained [:D]
Prepayment is very common so I do not have a problem with this, however printing a report for when you database fails is a bit like leaving an oar in the galley of your cruiseliner for when it sinks.
Can you confirm if you need to issue a Voucher or receipt document for cash or cheque handed over by the customer or handed to the vendor BEFORE posting the details in a Navision journal?

You are correct and it is really needed both for payment or receipt a payment from customer. I guess it can be done before posting, can’t it ? The answers posted here from other arealso correct according to my questions.
I also want to post it the check to special account to record post dated check or check. So, before I use bank account as other answered in this forum, I must use what account as the balance account and the account type / no must be post dated check account mustn’t it ?
I think the topic is still in the way and there aren’t gone off. I have clearly understood about the explanation from you and other, the topic is closed now. According to your last paragraph question, as about printing the cheque, of course yes I need it and I have written in the first posted question/message. That’s also posted in the developer forum here. tks.
