Out of balance General Ledger

Has anyone dealt with this? GL is out of balance by -101.04. We know the other side of the entry…we even know the entry number because it’s missing in General Ledger Entries. I just don’t know how to fix it. I may need a developer…

Thanks,

Gina

Hi @Gina_Hoener

Just to confirm the exact unbalanced transaction:

  • Open G/L Entries, add the Transaction No. column, and export to Excel.
  • Make a pivot table on Transaction No. with the sum of Amount. A balanced transaction always nets to 0, so the one showing -101.04 is your culprit.
  • Check the G/L Register for that transaction. It shows the entry number range, source code, user and date, so you can see which process posted it.

Also, check the sub-ledgers for the same transaction

Look at Customer, Vendor, Bank, VAT, and Item/Value entries for the same Document No. and Posting Date. Find out whether the sub-ledger side posted and only the G/L line is missing, or whether more is missing. This determines what needs to be inserted.

I have all this information. I know the entry number that is missing. I just don’t know how to correct the issue–I need a one-sided journal entry to bring the GL back in balance.

Hi @Gina_Hoener

You won’t be able to post a one-sided journal entry. When any journal posts, the posting routine checks that every transaction nets to zero. An unbalanced one is rejected with an “inconsistency” error, whatever journal template or setup you use. Configuration packages and Excel imports can’t write to G/L Entry either, because the table only allows inserts from code that has explicit permission.

The only solution is via custom code, where my development team can create a small one-time extension/ codeunit that inserts the missing G/L Entry directly, using the original entry number and transaction number.

Yes, I understand all that. Our dev team will take care of this. My original request was to know if anyone else had encountered this problem.

Thanks,

Gina

Yes, I should have answered that more directly. A few DUG members have seen out-of-balance G/L cases, and in the ones I’ve read the cause was usually a row removed or changed after posting, or a data import or extension that wrote outside normal posting. A one-sided entry on its own is rare, which is why your missing entry number was such a useful clue.

Your dev team is the right group to take this on. Good luck with the fix, and I hope the trial balance is back in line soon.
