Navision Purchase Order system

Hi,

Does anyone have any documentation on how the Navision Purchase Order works. We are Nav 5 SP1 / Nav 4 users but currently use a standalone PO system outside of Navision.

Our requirements for a PO system are reasonably modest :

  • Integration with NAV G/L

  • Workflow / Authorisation

  • WEB interface

  • Ability to impose budget limits linked to NAV G/L accounts

We have been told that this last requirement is not possible within the Navison PO module which would be a showstopper. We would consider upgrading if newer versions have such functionality.

If such functionality does not exist in Navision we would be interested in products having such functionality that integrate well with Navision.

NAV definitely supports budgets. I’ve never used them, though, and can’t remember if there is a way to prevent posting if something will cause you to go over that budget. It sounds possible, but I don’t think it comes out of the box that way.

Navision has Credit limit for Vendors (set per Vendor individually), but I suppose it’s not what you need - I understood your requirement is not Vendor-targeted, but purchased Goods targeted - that is, you can purchase said type of Goods up to certain budgeted amount (per month or whatsoever), doesn’t matter from whom.

Such functionality Navision hasn’t, but it of course could be implemented - speak to your Partner and explain them your business requirement, and make emphasis on the general underlying idea, not sticking to technical details, seems that now you both simply misunderstood each other.

It happens rather frequently, when both sides use the same words, but put different meaning into it - speak more generally first, and when you both get the idea itself then it’s time for detailed planning. At least I have done so in my consultant’s practice - asking client what is his business requirement or process or result he wants to gain, HOW then exactly to implement those is my & programmer’s business… [:D]

NAV comes with a PO approval functionality. Setting it up is a bit involved, but it’s biggest drawback is that it operates at PO Header level, not at PO Line level. I have developed a Financial Delegation add-on that works at PO Line level. It allows a PO to contain several lines that have to be approved by more than one Manager. Financial Delegation can be limited to CAPEX or OPEX, to Global Dimensions (Division, Management Centre, Project), even down to a single G/L Account. Very nice!
