How to manage shared resource usage between companies in D365 F&O?

Hi everyone,

I’m currently working on a scenario involving three entities in D365 F&O: A, B, and C.

Situation:

A and B both rely on the machining services provided by C.
When A and B launch their production orders in D365, they need to ensure that neither entity is requesting C’s resources at the same time.
Question: Is there an alternative or a feature in D365 that can help us manage and share this information to prevent simultaneous resource requests from A and B for C’s services?

Specifically, I’m looking for a way to track and allocate C’s resources in a way that prevents both A and B from using them at the same time. Any tips or suggestions on how to set this up in D365 would be greatly appreciated!

Thanks in advance for your help!

Hi Daniel,

We handled a similar case for one of our customers where multiple companies were using the same shared machine capacity. In D365 F&O, the system won’t automatically sync resource usage across legal entities unless you set it up that way, but there are a few workable approaches.

You can try the following:

• Create the shared machine in company C as a resource group and then use intercompany production setups so A and B schedule capacity against the same resource.
• Turn on finite capacity for that resource so the system won’t allow overlapping bookings from A and B.
• Use a shared calendar for the machine so all companies read the same working times and capacity.
• If needed, set up a small batch job or Power Platform alert to notify planners in A and B whenever C’s machine is already booked.

This usually helps keep all companies aligned on the same resource load. If you want, we can walk through it together on a quick call to make it clearer.
