Disposal of Fixed Assets

I have 2 queries in Navision (Fixed Assets Module)

Version 4.0 (SP3)

Query 1:

When the Fixed Assets is disposed off, Navision does not post the amount of Gain/loss to the G/L. It just updates the Sub ledger of FA only.

we contacted our partner and they told us to check the Integration setup in FA Depreciation book, it is also checked. They said everything looks okay, they are looking into it. I just want to know what the experts think is wrong!!

Just for your information, our company has 2 different Depreciation books.

Query 2:

We wanted to write off some fixed assets as they were destroyed, so our accountant used FA GL Journal as suggested by the manual. We then selected type as “Disposal” and now the balancing account has only 2 options navision allows “G/L or bank” so we selected G/L “Accusation cost on disposal account” and posted it.

Now I have 2 queries:

i. Is it correct to do disposal from this Journal as it is a direct posting, our accountant worry that direct posting should not be allowed. we did the following:

Cr FA (Fixed Asset)

Dr Acc cost on disposal account

ii. After posting the Journal, Navision created 3 more entries automatically and posted it, although the net effect is zero, we just want to know if this is how standard navision does.

The posted entries were: Cr. Acc cost on disposal account

Dr Dep A/C

Dr. Book Value A/c on disposal.

Please help and suggest on the above, your help is highly appreciated.

  1. One and ONLY one of these Depr Books can be integrated into GL. If disposal is simultaneous in both of them, only one (integrated) book’s figures will be reflected in GL.
  2. If you post disposal through Journal -not SalesOrder- use FA GL Journal, not FA Journal, the latter doesn’t post anything in GL, only in FA Ledger.

Q2 - When you DISPOSE a FA, no Bal.Account should be entered, as there in not a SINGLE, but many accounts involved - these are taken from FA posting groups !!!

By adding BalAccount you messed everything up… so further part of your query shows that wrong accounts are hit.

All amounts for different accounts on disposal are calculated during posting, so all possible entries are created, even if some of them have zero amount - accountants like this, as they see nothing is forgotten.

Please read carefully the FA manual again - or ask Partner for training, as FA functionality in Navision works as it is expected to do, IF it is correctly set up and IF you follow the right procedure.

Thank you very much for your quick and prompt response!!

All these were done in testing data base and not in Live system. I mentioned 2 books as some of the Fixed Assets had, however, the asset we did testing had only one Depreciation book.

If we don’t use Balancing account in FA G/L Journal, then it doesn’t post as it says there is a difference. So what do u mean by saying we should not enter the balancing account?

You do not enter any AMOUNT, too… Journals are for disposing “junk” or “destroyed” FAs - all possible remaining BookValue goes to loses.

If you SELL a FA, thus gaining some money, on posting the SO/SI, Navision will calculate respective Amts correctly.

Thanks Modris, it works as you suggested. I’m now waiting for an answer from our Finance team.

Mean while, i have also done a disposal (sale of an asset) from Sales Invoice and we have a gain in sale. However, it doesn’t post the Gain to the G/L Account but updated the Subledger of FA.

Can you please tell me, why it happens.

  • DeprBookCode in SI line (unhide column, you don’t see it by default) is set to non-integrated one.

  • DeprBook Integration setup wrong

  • almost impossible, but - maybe some modifications?

FA (sub)Ledger is ALWAYS hit, from setup(s) depends, will the GL be hit, too.
If in FA ledger the figures are correct, recheck with your partner the setups. “Navigate” from FA Ledg. entries, to check what & where is written.
