We do not use any of the out of box Email Templates in CE. We are not using any Sales or Marketing features in CE either, only Cases for tracking emails. I was wondering if anyone had advice on deleting the OOB templates so that our users don’t have to scroll through the list to find the handful that we have created ourselves.
Hi. To confirm how you’re using email templates, are you creating email activities in CE and using the Insert Template option?
If so, please see if these steps will help.
-
First make sure your security role has sufficient delete privileges for Email Templates. If your security role does not, you can either have a System Administrator assist or create an add on security role that has Org level privileges to delete (create a new security role with just elevated Email Template privileges). The Email Template permissions are defined on the Core Records Tab.
-
Access Email Templates:
- Either from Power Platform via Environments > [Your Environment] > Settings > Templates > Email Templates
- Or via Classic Mode (Advance Settings from your Settings cog) Settings > Templates > Email Templates
- If your security access is correct, you will see a X from the menu. If you click on one of the templates & click the delete “X” it will delete that email template. Otherwise you can click on the email template name and open the full record & use the Delete button there. If you ever think you may want to use these in the future you can copy the body of the email. Deleting is permanent.
Please let me know if these steps worked. If you don’t see the delete option then mostly likely it’s security role related.
Hi Vicki,
I have deleted them in my Dev environment, (I’m the System Admin) but I was wondering about the impacts if I delete all of the out of box templates. Is this something that others have done? Were there any gotcha’s to be on the lookout for?
Hi. I haven’t personally had a client delete all the templates. I would recommend creating a “backup” of those email templates in case however Quick Tip: Deactivating and Archiving CRM E-Mail Templates | Customer and Employee Engagement Blog (c5insight.com).
I would have to look through all the processes, but if there is a workflow you want to utilize that references one of the email templates that would have to be updated, but that’s a fairly simple change.
The only other aspect to be aware of is if Microsoft would push a release update that included changes to those email templates. I’m not as well versed in how they code their updates, but if it’s expecting a template to proceed then the update may have issues, which is where you could add them back if you kept them in an unmanaged solution.
