How to set up mandatory dimension in creating a journal in AX 2012

Hi All:

In AX 2009, chart of accounts>dimension tab, we can set up the account to be mandatory (to be filled in). My question is how to set up the same function in AX 2012?

Hi,

In AX2012, we have to set this up by account structures and advanced rule structures.

here i see there are majorly 3 types which accomodates the options which are available in ax2009.

by setting up the “Specify which values are allowed” makes it as To be filled in of Ax2009

by marking the check box “Allow Blanks” makes it as an Optional of Ax2009

by not defining the dimension makes it as None

Hi,

Its basically COA configuration that you need to use. IN COA configuration you can define which all ledgers should have mandatory set of dimensions.

Advance rule is your dimension restriction where you define that for a particular value in dimension A which all dimension values can be used from that of dimension B.

For the better explanation go through this LAB prepared my me. Hope you will satisfied by this LAB.

  1. Create a New Company

a. Go to General Ledger > Setup > Organization > Legal Entities

b. Create New

c. Specify Company Name “ KoenigSolutions

d. Specify Company Code “KOE

e. Specify Country “IND

f. Click OK

g. Close the Form

  1. Click CEU on Status Bar > Select KOE> Click OK

  2. Create Chart of Account

a. Go to General Ledger > Setup > Chart of Accounts >Chart of Accounts

b. Create New

c. Specify Chart of Account Name “KOE-COA

d. Close the Form

e. Go to General Ledger > Setup > Ledger > Select “KOE-COA” as Chart of Account

f. Select Financial as Fiscal Calendar

g. Select USD as Default Currency

h. Close the Form

  1. Create Configure Account Structure

a. Go to General Ledger > Setup > Chart of Accounts >Configure Account Structures

b. Create New

c. Specify Name “KOE-AccStru

d. Click OK

e. Click Add Segment > Select Department > Click Add Segment

f. Click Department’s Filter Sign > Select Specify which values are allowed

g. Select “is Between” in place of “is

h. Enter Value “OU_1” and through “OU_120

i. Click OK

j. Click Activate

  1. Attach Account Structure to Chart of Accounts

a. Go to General Ledger > Setup > Chart of Accounts > Chart of Accounts

b. Select KOE-COA

c. In Account Structure Fast Tab > Click Add > Select “KOE-AccStru

d. Close the Form

  1. Create Main Account Values

a. Go to General Ledger >Common Forms > Main Accounts

b. Click New Main Account

c. Specify Account Code “1110”

d. Specify Account Name “Cash”

e. Click New again and Create 4-5 accounts as per your Choice

f. Close the form

  1. Create Advance Rule Structure

a. Go to General Ledger > Setup > Chart of Accounts >Advance Rule Structure

b. Create New

c. Specify Name “KOE-AdvStru

d. Click Add Segment > Select Department > Click Add Segment

e. Click Department’s Filter Sign > Select Specify which values are allowed

f. Select “is Between” in place of “is

g. Enter Value “OU_1” and through “OU_116

h. Click OK

i. Click Activate

j. Close the Form

  1. Attach Advance Rule Structure to Account Structure

a. Go to General Ledger > Setup > Chart of Accounts >Configure Account Structure

b. Select “KOE-AccStru

c. Click Advance Rule on Action Pane

d. Click New

e. Specify Advance Rule “KOE- AdvRule

f. In Advance Rule Structure Fast Tab > Click Add

g. Select “KOE-AdvStru”

h. Close the form

i. Click Activate Button on the Action pane

j. Close the Form

  1. Create Journal names

a. Go to General Ledger > Setup > Journals > Journal Names

b. Create New Journal

c. Specify Name “Daily Jrn

d. Select “Acco_19” in Voucher Series

e. Close the Form

  1. Create a Number Sequence

a. Go to Organization Administration > Common Forms > Number Sequence > Number Sequence

b. Create New

c. Specify Code “JRN_NO

d. Select Scope Parameters Fast Tab

e. Select Company in Scope

f. Select Company “KOE

  1. Attach Number Sequence to Journal Number

a. Go to General Ledger > Setup > General Ledger Parameters

b. Select Number Sequence

c. In Journal Batch Number > Select “JRN_NO

d. In the Journals > Select “JRN_NO

e. Close the Form

  1. Pass a Journal Entry to See the Effect

a. Go to General Ledger > Journals > General Journal

b. Create New Journal

c. Select “Daily Jrn”

d. Click Lines Button on Action Pane

e. Select Main Account “1110

f. Select Department “OU_115

Note: You can see only one Department because of Advance Rule Structure.If you pass the Journal Entry without Advance Rule Structure you can see two Values i.e. “OU_115”, “OU_116”

Hi Heylin,

I believe this is the Account Structures. As the Financial Dimensions in AX 2012 allows its users to create more than 3 financial dimension, you may setup more than three appropriate dimensions per main account (or chart of account) through the Account Structure and set it as mandatory or optional by ticking the Allow Blank checkbox at the filter. See General Ledger > Setup > Chart of Account > Configure Account Structures.

I am getting the following error when I try and activate any account here. I don’t know what was happen but somehow these accounts were deactivated. Here is the issue: I use two accounts to post to and cannot do it

The node for dimension Department with criteria 022 to 022 for account structure Manufacturing P&L is marked optional. You must unmark the Optional checkbox for the node before you can activate the account structure.(where is this optional checkbox?This in the configure account structure form in x 2012

Can you post the error you received when trying to activate an account structure?

For the optional checkbox, there is none,actually. What I do, if in case I opted to set the dimension to optional, is I tick the “Allow blanks” checkbox while allowing all values for the ledger accounts specified. This will allow the users to attached the financial dimension or just leave it blank during the transaction.

Please note that AX verifies the filter we create for the Main Account, for every account structure we create. Conflicts on pre-existing Account Structure will prevent the Account Structure to be activated.
